Automate email surveys when a contact is updated in SFTP storage

Share email surveys when a file is created or updated
1. Navigate to your survey’s share section and choose SFTP.
2. Click Create Share.
Configuring the SFTP email share
1. Enter a name for the email share.
2. Click Create a new connection.
3. Enter a name for the connection.
4. Enter the Host and Port details.
5. Choose a mode of authentication
6. Enter the credentials for authentication.
7. You’ll see a toggle for encryption. Once enabled, you can download the encryption key, which can be used to encrypt your file before uploading it. This ensures your data remains secure during transfer.
8. Click Save connection.
9. Click Choose file or folder.
10. Select the file/folder and click Select.
You can select the Choose file (for repeated use of sending surveys to a set of contacts in a file) option or the Choose pattern (for continuous dynamic use sending surveys every time a new file matching the pattern is detected) option to access a file.
11. When you select Choose pattern, you can choose to enter a text and pick a date format to choose the files dynamically.
12. Proceed to schedule your SFTP email share.
13. Select how frequently you want to check the source file to email feedback surveys.
14. Once you set the schedule, click Preview schedule to view the upcoming triggers to email.
15. Turn on the Notify when import is scheduled to receive notification to an email of your choice.
Mapping recipient details with the survey
1. Click Mapping to proceed with mapping the recipient and survey variables.
2. Choose the column in the file that has the recipient’s email address.
3. You can choose to map columns in the file with the survey variables.
4. You can also choose to add a column to your file by clicking Add column.
5. Map the newly added column with a survey variable.
Composing the email
1. Click Compose mail to proceed with setting up the email.
2. Enter the email subject (You can choose to personalize it by clicking the ‘$’ icon), and set the From and Reply-to address.
3. By default the first question is embedded in the email. You can choose to turn on or turn off the Embed first question option accordingly.
4. Click Add custom footer to enter any additional detail to the email.
5. Edit the email content according to your requirements.
6. You can choose to send the email immediately or schedule it to be sent after some time.
7. Once done, click Create Share.
And your automated SFTP email share is all set!
You can choose to turn on or turn off the automation according to your usage.
Click the 3-dot icon of an automated SFTP email share to edit the automation, view the import logs, or delete the automation.
